If you’re ever looking at hosting an event or a conference and want to maximise your return on investment, you need to maximise your marketing both in advance and on the day itself. Obviously 1), you want to drum up interest to get people to actually go, but 2) it’s also important you get content to help capitalise on post-event marketing, as well as covering off content for any potential future events. Here’s an example of how we’ve recently helped HOSPA, the Hospitality Professionals Association, market its annual conference, HOSPACE. Pic PR has supported HOSPA for the last six years, delivering a wide-ranging comms programme that includes PR, social media, copywriting, video and photography. A core part of our work centres on HOSPACE, where, across the course of several months, we look to promote the event in advance, while also capturing content on the day itself. Imagery forms a crucial part of this.
Whilst we have a great bank of imagery to call upon from previous HOSPACE events, we’ve also been going out capturing supplementary content over the last few months. From videos of Jane Pendlebury, HOSPA’s CEO, counting down and thanking sponsors and exhibitors, to interviewing those on the shortlist for HOSPA’s inspirational leader awards (which are announced at HOSPACE’s gala dinner in the evening) – we pull it all together to create a buzz. The edits from the above are also used as content during the Gala Dinner, helping to form part of a supporting presentation. And this is all supplemented by photography and videography on the day itself, including interviews with panellists and delegates, while we captured workshops, panels and more for use in the wake of the event and ahead of the next HOSPACE.
And it’s not just pictures and video. We also designed graphics for use across HOSPA’s social channels, email signatures, sponsors toolkits and even mic flags – helping to create a professional, highly polished appearance. All of this visual content was also used to great effect in a multitude of HOSPA presentations across the day – including talks for various speakers and panel discussions. On top of the above, our 2023 event social media management saw HOSPA’s social channels enjoy yet another YOY increase in statistics, with impressions up by 27%, engagements up by 15% and reach up by 18%. Finally, we also invited journalists from hospitality’s leading publications to attend, including Boutique Hotelier, Boutique Hotel News, Hotel Owner, Hotel Management International and The Caterer – with Caroline Baldwin of The Caterer even speaking on a panel.
All in all then, our work helped to create excitement and anticipation ahead of the event, and contributed to a record-breaking attendance – with a 32% jump in ticket registrations meaning it was officially the best attended HOSPACE to date.
